Picture two quotes arriving in a customer's inbox. One comes from joesplumbing1987@gmail.com. The other comes from joe@joesplumbing.com. Same price, same work. Which one feels like a real business?
An email address on your own domain is one of the cheapest ways to look established. It also helps your emails land in the inbox instead of the spam folder. This guide explains why it matters and how to set it up.
Why a free webmail address holds you back
Free webmail accounts are fine for personal use. For a business they create real problems:
- Trust. Customers, suppliers and banks are more cautious with free addresses, because scammers use them too.
- Brand. Every email is a small advert for the email provider instead of for you.
- Control. If an employee leaves with the password, the address and its history go with them.
- Continuity. If you change providers, a free address cannot move with you. An address on your own domain can.
Benefits of email on your own domain
- You look professional on quotes, invoices, business cards and your website.
- You own the address. As long as you keep the domain, you keep the address, whichever mailbox provider you use.
- Role addresses. Create sales@, support@ or bookings@ and route them to the right person.
- Better delivery. With the right DNS records, receiving mail servers can verify that your emails are genuine.
- Easy staff changes. When someone leaves, you reset the mailbox or redirect it. Nothing is lost.
What you need
- A domain name, such as yourbusiness.com.
- A mailbox provider. Many hosting plans include mailboxes. Our Starter hosting plan, for example, includes up to 5. You can also use a dedicated mailbox service with its own monthly fee.
- Access to your domain's DNS settings, where a few records are added.
The DNS records, explained simply
Email setup comes down to a few records in your domain's DNS. Getting them wrong is the most common reason business emails end up in spam.
- MX records tell the internet which server receives mail for your domain.
- SPF lists the servers allowed to send email for your domain.
- DKIM adds a digital signature to your outgoing emails so receivers can check they were not altered.
- DMARC tells receiving servers what to do with emails that fail SPF or DKIM, and can send you reports.
Since 2024, large email providers have tightened their rules for senders, and authenticated email (SPF, DKIM and DMARC) has become the norm. A domain without these records is more likely to be filtered.
How to set it up, step by step
- Choose your addresses. A personal one (yourname@) plus one or two role addresses (info@, sales@).
- Pick your mailbox provider and create the mailboxes.
- Add the MX records your provider gives you in your DNS settings.
- Add SPF, DKIM and DMARC records. Start DMARC in monitoring mode, then tighten it once reports look clean.
- Install SSL on your domain and website so visitors and webmail logins are secure.
- Connect your devices. Add the mailbox to your phone and computer.
- Test. Send emails to and from a few different providers and check they arrive in the inbox, not spam.
- Update everywhere. Website, social profiles, Google Business Profile, invoices and email signature.
If you are comfortable with DNS, you can do this yourself in an afternoon. If not, a misplaced record can stop your email working, which is why many owners hand it off.
Common mistakes to avoid
- Adding two SPF records instead of one combined record.
- Forgetting DKIM, so emails are sent unsigned.
- Leaving old MX records in place after changing providers.
- Using the business owner's personal email for every account, so there is no shared inbox when they are away.
- Never testing delivery to the big free email providers your customers use.

FAQ
Can I keep using Gmail or Outlook apps with a business address?
Yes. Most mailbox providers work with the standard mail apps on phones and computers, so you can keep the app you like while sending from your own domain.
How many mailboxes do I need?
Most small businesses start with 2 to 5: one per person plus a shared info@ or sales@ address. L06 covers up to 5.
Do I need a website to have business email?
No. You only need a domain. But once you have the domain, a simple one-page website costs little extra and makes you easier to find.
Will my emails stop going to spam?
Correct SPF, DKIM and DMARC records give your emails the best chance of reaching the inbox. Content and sending habits also matter, so no one can promise inbox placement for every message.
How long does setup take?
We deliver L06 in 3 days. DNS changes can take a few hours to spread across the internet.
Can you move my old emails?
Mail migration is not part of L06, but we can quote it separately.
